| The Membership Enhancement Coordinators main purpose is the Retention of Members. The Membership Enhancement Division Team has revised the Membership Enhancement Coordinators Position Description of Duties and Responsibilities. The Position Description is now posted on the National Membership Enhancement Division website under Guides. The Area Report List that will be sent out from the Home Office in February 2009, will be revised to correlate with the new Position Description. There will be two basic changes to the Area Report List.
Change # 1 - A new tab will be added to the bottom of the page on the monthly Area Report List. This new tab will labeled EXPIRED. You will no longer receive the names of expiring Members four consecutive months. Under the current EXPIRING tab, you will now be provided with the name of the Members whose membership will expire during the following month. (Example - The report that you receive in February will show the Members who will expire during the month of March.) If the Member renews their Membership, their name will not appear on the monthly report again. If the Member does not renew their Membership, their name will show up under the new EXPIRED tab two months after their expiration date. (Example - The Member who expired in March 2009 and did not renew their Membership, will show up as being EXPIRED on the May report which will be received in June.) This will eliminate the necessity of tracking a Members expiration date four consecutive months. The EXPIRED tab on the February 2009 report will show those Members whose membership expired in November 2008. They will have already been expired two months.
Change # 2 – In order to provide a method for Chapter Directors and/or Chapter Membership Enhancement Coordinators to record and report Members they have contacted, three new columns will be added to the right side of the Area Report List. These columns will be added to the NEW, PROSPECTIVE, EXPIRING and EXPIRED listings. These new columns will be labeled CONTACTED – YES/NO, DATE CONTACTED, and COMMENTS. After contacting Members and completing the columns, the information is to be forwarded back to the Region Membership Enhancement Coordinator with a copy to the District Membership Enhancement Coordinator.
Once the contact information is received from the Chapters, the Region Membership Enhancement Coordinator will submit a monthly report to the Membership Enhancement Division Director. The information on EXPIRED Members will be used by the Executive Director and staff to identify areas within GWRRA that may need to be modified or areas where new programs are needed to help retain Members.
It is recommended that EXPIRING Members be contacted during the month they actually expire. If Members are contacted too early, they may put off renewing as they feel they have more time, or they may be more prone to forget. It is also recommended that contacts by email be limited. In many instances emails are not received, deleted, or simply not read. Emails offer no personal feedback. Personal contacts are recommended, especially when contacting EXPIRED Members.
